How to upload purchase orders and line items from Excel to prduct

To ensure correct upload of purchase orders and lines to prduct.com, you must follow this guide.

You need to upload two files in the correct order:

  1. Purchase Orders

  2. Lines (batches)

If the lines are uploaded before the orders, the system will not be able to correctly link the lines to the orders.

1. Upload of Purchase Orders

Before you can upload the lines (batches), you must first upload the purchase orders. Here is an overview of how to fill out the PO Template file.

Column

Description

PO Identifier

The ID of the purchase order (unique identifier).

PO Name (can be PO Identifier)

The name of the purchase order, which can be the same as PO Identifier.

Supplier Identifier

The supplier's ID, which must match the external ID on the platform.

Invoice date

The date of the invoice, which can be used for top-level invoice data.

How to upload the file:

  1. Go to "Data" in the navigation menu on the left.

  2. Go to "Purchase orders" in the navigation menu on the left.

  3. Click the "Add Purchase orders" button in the top right corner.

  4. Then select "Upload purchase orders."

  5. Click "Select a new file" and choose the Excel file you want to import.

  6. All columns from the file will now appear so you can review the data. Then click "Next."

  7. In "Link to Data," select "Yes" and map the following:

    • Supplier Identifier (column) > Supplier (Link type) > External ID (Identifier)

  8. Skip the "Update Documents" step.

  9. In Column Mapping, map the following:

    • PO Identifier > External ID

    • PO Name > Name

    • Invoice date > Purchase order date

    • Any other columns

  10. Click "Submit."

2. Upload of Lines (batches)

Once the purchase orders are correctly created, you can upload the lines (batches), which refer to individual products in the purchase orders.

Column

Description

Line Identifier

The ID of the line, which can be used to identify the specific line.

PO Identifier

The ID of the purchase order the line is associated with (refers to PO).

Line Name (can be Line Identifier)

The name of the line, which can be the same as Line Identifier.

Product Identifier

The product ID, which matches the product on the platform.

Quantity

The number of units on this line.

How to upload the file:

  1. Go to "Data" in the navigation menu on the left.

  2. Go to "Batch" in the navigation menu on the left.

  3. Click the "Add Batches" button in the top right corner.

  4. Then select "Upload Batches."

  5. Click "Select a new file" and choose the Excel file you want to import.

  6. All columns from the file will now appear so you can review the data. Then click "Next."

  7. In "Link to Data," select "Yes" and map the following:

    • PO Identifier (column) > Purchase order (Link type) > External ID (Identifier)

    • Product Identifier (column) > Product (Link type) > External ID (Identifier)

  8. Skip the "Update Documents" step.

  9. In Column Mapping, map the following:

    • Line Identifier > External ID

    • Line Name > Name

    • Quantity > Quantity of product

    • Any other columns

  10. Click "Submit."

Batch relationships

If you want to link sub-batches to existing batches, you must first create the batches, as sub-batches can only be linked to batches that have already been created.

By following these steps and correctly filling out the templates, you can easily handle the upload of both purchase orders and lines (batches) in the prduct.com platform.
