Working with the Assets page

This guide takes you through the suggestions on how to use the Assets page (structure and functions)

You can access the Assets page from the Prduct homepage via the left-hand menu under Assets. Here you work in a classic folder structure where you can organize and sort your files. At the top, you typically see pinned folders. You can remove them by right-clicking and selecting Unpin folder.

You can also create your own folders, which is strongly recommended—especially if you work with many files (e.g., certificates, product images, documentation, etc.). A good structure early in the process provides a much better overview as the number of files grows.

File actions:

When you right-click a file in Assets, you get access to several functions:

Assign to document

With Assign to document, you can link a file to any number of documents across products, components, suppliers, locations, etc.

  1. Right-click the file and select Assign to document.

  2. Use filtering or search to select the documents the file should be linked to.

  3. Click Continue.

  4. Select the relevant attribute—e.g., Certifications when the file is a certificate.

  5. Select the specific certificate; the file is then placed directly.

  6. Click Confirm assignment to mass-assign the file to all selected documents.

The key point is that you attach the same file across multiple documents in one action.

Pair with attribute

Pair with attribute allows you to link a file to a specific attribute so the file is automatically suggested whenever that attribute is used.

  1. Right-click the file and select Pair with attribute.

  2. Select an attribute that supports files.

When you later work on a document that includes this attribute, the field is highlighted in yellow. Clicking the highlight shows the paired file as a suggestion.

Replace with new file

This function replaces the selected file with a new file from your computer.

  • The system uploads the new file and automatically replaces it on all documents and attributes where the old file was used.

  • The old file is removed from Assets.

This is mainly used if you uploaded an incorrect file that you want to replace and not keep in Assets.

Replace with existing file

Similar to Replace with new file, but instead of uploading a new file, you select a file that already exists in your Assets. This is mainly used if you uploaded an incorrect file that you want to replace and not keep in Assets.

Replace usages

Replace usages works like the above—with one important difference:

  • The old file is not deleted from Assets.

  • Only the usage of the file is replaced with another file from Assets.

Use this function if you want to keep the original file but swap it out where it is used.

Replacement history

Here you can see a history of all previous files that have been replaced by the current one. This provides full traceability when files are replaced over time.
