This guide shows how to upload and link components and sub-components via Excel files. The process is similar to uploading products, but there are a few important differences you need to be aware of.
Note:
There is example Excel-file at the bottom of this article, that illustrates a desired structure.
1. Select the file you want to upload
In the first step, you choose the file you want to upload.
2. Link data
In the next step, you choose how the components should be linked to your products or other components. This is done via the product/component's ID you want to link it to. First, you select the document type you want to link to, and then the ID type that should be used.
Linking to other components will create a sub-component structure. This way the system will visualize that your existing component that you link to, consists of the new components you upload now.
Note: You can upload the same component to several different products and parts at the same time, you must add both the product ID and the main component ID when linking data. (E.g. a screw type that is used for both a component and at product level)
3. Mapping
When you reach “Mapping”, there are a few data fields to keep in mind to get a complete 'Bill of Materials' for the parent component or product they are linked to.
These fields system names are (mapping example seen on screenshot 4 & 5 below):
Quantity of component
Determines the quantity of the component used for the linked parent component or product.
Unit of Quantity
Determines the Unit type used for quantity, this can be anything you work with (etc. meters, m2, pcs, liters, m3)
Weight
Determines the weight of one unit of the component.
(etc. 1 squaremeter of leather = 6 kilos. So a quantity of 0.5 squaremeter of leather for a chair = 3 kilos on that component for the specific BoM overview).
Component Type
Determines the type of the component - This does not mean anything except internal data overview and transparency of how you manage categorise this component.
You can specify the Component Type as one of the following types:
Raw_material
Processed_material
Component
Ingredient
If the field is blank or written incorrectly, the component will be assigned the type “Component” by default
When all desired firelds are mapped, click “Submit”, and your components will be uploaded. (Mapping Name is mandatory, mapping identifier is suggested - if no identifier is mapped, the component will get a GUID id provided by the system)
4. Uploading the same component to multiple products/components
It is possible to upload and link the same component to multiple products/components in one go.
It is recommended that the components are only created once – they will still be connected to all product/component IDs listed in your file.
You can select the 'Import Strategy' when uploading which decides whether to create a duplicate of your document if a similar already exists, or skip it if it already exists, as seen on screenshot 6 below.
5. Connect existing components to multiple products
If you have already uploaded components but want to connect them to more products, its the same procedure as when creating new components. But you will select “Update Documents” in step 2. (See screenshot 7 below)
If you only need to link just a few components it can be quicker to do it via the 'Actions' button that appears when selecting documents. (see screenshot 8 below)
