Tip: if your suppliers need guidance on how to fulfill the link? Send them this guide and refer to [email protected]
You can collect data on all document types using enrichment links, directly from the Data request button in the top right corner.
Please note: On Suppliers, you can only collect data from the specific supplier's data page, and only for that one supplier at a time — the link is meant to be filled out by a single supplier. On all other document types, you can send a data request for one document, or for several documents, at the same time.
How to send a data request
Select the documents you want to collect data on. You can do this in two ways:
Select the documents directly in the Data request pop-up, or
Pre-select the documents on the overview page before opening the pop-up.
Click Data request. This opens the data request pop-up, where you can confirm the documents you've selected.
You cannot select documents that are already part of an ongoing enrichment process. You'll need to cancel the ongoing process, or wait for it to finish, before you can include that document in a new request.
If you select documents belonging to different suppliers, a banner will alert you that you're about to collect data from multiple suppliers — this helps you avoid accidentally including documents from the wrong supplier in a single link.
Choose which attributes to collect. There are two ways to do this:
Attribute preset – based on a data model, applied to all selected documents at once.
Per-document settings – each document can have its own set of attributes to collect.
If you use a preset, you can still edit the selected attributes afterwards — for example removing an attribute from the data model that isn't relevant.
You can also use the slider to choose between collecting all attributes, or only missing attributes (based on the data model) — so documents that already have data for an attribute won't be requested to fill it out again.
Set a deadline (optional). You can leave this unset, and you can always extend a deadline later.
Send the link. You have three options:
Generate link – a link you can share through any communication channel with the supplier.
Send email – sends the link directly by email, using a customizable email template in the platform.
Send as a task – sends the link as a task inside the platform, which requires the supplier to be an active user on the platform.
How to check the status of a data request
Go to the Data requests tab under Collaboration.
Here you'll see all the links you've sent out, along with their status.
Expand a link to see the status for each document included, which attributes were requested, and whether data has been filled in for each one.
You can cancel a link, extend the deadline and copy the link, from the 3 dots at the end of each column.
How suppliers fill out a data request
When a supplier is filling out a link on their end, they can navigate back and forth within it, save their progress, and return to it later if they don't have all the data ready at once. Once they're done, they click Complete link, which sends the data back to the documents you requested it on.
Collecting related documents in the same link
It's possible to collect data for related documents in the same link. For example, if you're collecting data on a product, you can also set it up to collect data on the related components in the same link.
This is a more advanced setting — we recommend requesting a guided introduction from us if this becomes relevant for you.
Attribute rules for data requests
When setting up which attributes to collect, you can also configure attribute rules that control how the supplier can interact with each attribute:
Editable – the supplier can fill in or change the value.
Read only – the supplier can see the value but not change it. This is useful, for example, if you've included an attribute with instructions you don't want the supplier to edit.
Hidden – the attribute is not shown to the supplier at all.
Requires approval – data submitted for the attribute must be approved by you before it's applied to the document.
